When Group Booking is set up, you can see the relevant menu through Appointments menu.
The way Group booking works within the system is that Group appointment sits as a parent appointment and you can add client and care worker to this group appointment.
To do this,
1. Add Group Appointment
First, you will need to create Parent Group appointment through either Add Group Appointment, or Add Group Repeat depending on the situation.
Please note that Group appointment cannot be generated through any other menu. (e.g. Client, care worker page)
The below page will come up:
By default, client and care worker of this Group appointment are set to Group Session client and Group Session user respectively.
Set the date, Service type and time and click Add Appointment.
2. Add Client and Care worker to Group Appointment
Once group appointment is generated, you will see the fields where you can add client and care worker as per below.
2-1. Adding client
Click Add client, and the below page will appear
From here, you can select client, and update Service type and Start-End Times if necessary. Please DO NOT change care worker on this page.
You can keep adding client from Group Appointment page:
This is what looks like after you add clients to group appointment:
2-2. Adding Care worker
On group appointment page, click Add Care worker, and the below page will appear:
The marked fields (care worker, service type, and Start-end times) can be updated.
Once both clients and care workers are added to this Group appointment, you can see the list of them on the page:
This will be reflected on Weekly planner on care worker "Group Session User"
3. Updates to be done through Timesheet
When one of the assigned care worker checks timesheet, they can see Group appointment and relevant clients list
From here, care worker select the client that they are attending to, and complete the timesheet. Please note, carer should first click client from the list and update timesheet, and DO NOT update on Group session timesheet.
If it's already attended by other care staff, it will be marked accordingly:
