Unallocated appointments are central to the Weekly Planner’s functionality. They convert Repeat Templates and One-Off appointments that haven’t yet been assigned a worker into active appointments on the roster.
The Unallocated Appointments feature contains a range of powerful tools, and this article will walk you through each area step-by-step.
List View: Unallocated Appointments
All unallocated appointments in the Weekly Planner can be viewed in list format via the Functions Menu.
To access this list, click on the Unallocated Appointments section to expand it. As you expand this view, TurnPoint will automatically calculate and display the number of conflicting appointments.
Bulk Allocate
The previous "Load" functionality has been replaced with the more powerful Bulk Assign button.
When clicked, a pop-up window will appear asking if you want to:
- Ignore workers' qualifications
- Ignore workers' availability
By default, TurnPoint attempts to assign repeat appointments to their default worker (as specified when the repeat was created). If the worker is no longer available or qualified at the appointment time, the allocation will be blocked.
You can override these checks using the pop-up options.
After clicking Confirm, TurnPoint will attempt to load the appointments into the planner for review. Once you're happy with the allocations, follow the instructions in this article to commit the changes.
Searching Unallocated Appointments
The unallocated list has its own dedicated search functionality, separate from the standard roster search.
Click on the magnifying glass icon to bring up the search fields. You can filter appointments by:
- Client - Client Assigned on the Repeat/Unallocated Single Appointment
- Repeat Worker - Which worker assigned on the repeat if selected
- Suburb - Suburb of the Client or location selected as part of the Repeat/Unallocated Single Appointment
- Date - Date of the Repeat/Unallocated Single Appointment
You can read more about creating single appointments and repeats here
Modifying Unallocated Appointment Cards
Not every user needs to see the same details for unallocated appointment cards. You can customise what appears by clicking the eye icon.
These settings are saved per user, allowing each staff member to personalise their view. Display options include:
- Client Suburb
- Duration
- Qualifications
- Service Type
Single Allocate – Drag and Drop
In addition to bulk assigning, you can also drag and drop unallocated appointments from the Functions Menu directly into the main roster.
To move an unallocated appointment, simply click and hold on the relevant appointment card, then drop it into the roster — this can be done in either the Day View or Weekly View.
When you first drop the appointment into the roster, it will automatically snap to:
- The worker row you dragged it onto
- The original date and time from the unallocated appointment
Once placed in the roster, you can move the appointment to a different day or time as required.
Single Allocate – Find Best Worker
If you're unsure who the best worker is for a particular appointment, the Weekly Planner V2 includes a convenient tool to help you find the most suitable option.
In the unallocated appointments list view, click the right arrow icon on a card to open the Find Best Worker tool.
Once opened, the roster will automatically snap to the correct day and time for the selected appointment. From here, you can use the options dropdown to filter and refine the list of potential workers.
Available filter options include:
-
Qualified (Default: Yes)
- Yes: Shows only qualified workers
- No: Shows only unqualified workers
- All: Shows both qualified and unqualified workers -
Availability (Default: Available)
- Filters to only show workers available at the appointment time -
Preferences
- Preferred: Shows only workers marked as preferred on the client’s profile
- Historical: Shows only workers who have provided services to the client within the past 3 months
Once you have found the worker to assign the appointment to, you can either click and drag from the un-allocated list onto the workers slot, alternatively you can use the Assign Worker drop down menu and Allocate. You will also notice that on this view that click and drag is still available so if an appointment doesnt quite fit, you can modify the surrounding appointments right from this view.
