TurnPoint offers the bidding feature to allow schedulers to efficiently reallocate rejected appointments by allowing multiple workers to 'bid' for a single appointment.
ADMINS:
To reassign the appointment, you will first need to remove this appointment from the planner (calendar view) and move it to the sidebar as a pending appointment.
To do this:
- Step 1: Remove the appointment from the calendar view
Hover over the rejected appointment and click "remove". (This doesn't mean you are cancelling or deleting appointment)
Once removed, you will see the client and their appointment move to the 'pending' appointments on the side bar
Step 2: Click "AV" button
The appointment that was removed in step 1 is now sitting as pending appointment in the side bar. From here, click "AV" button.
- Step 3: Start the bid by pressing "on", and you can see white little box with orange background will appear under each care worker's name.
- Step 4: Select the workers who you want to potentially take this shift. Once selected, the box will turn black.
- Step 5: Once you have confirmed the workers you want to open the appointment up for bidding, click "save"
This will SMS all selected care workers and prompt them to log in to accept the appointment
CARE WORKERS:
On the Care worker's Mobile view, they will receive an SMS advising them of an available appointment.
- Step 1: Finding the biddable appointment
Workers will need to scroll down from their home screen to see their pending appointments.
The biddable appointments will be highlighted in yellow
- Step 2: Accepting the appointment
The first care worker to press "accept" on the appointment will be allocated that appointment automatically.
If other care workers who have been selected open it at a later time, they will not see the bid available.
If two care workers accept it at similar times, the worker who was slower will have a message saying "appointment has already been cancelled"
