Sometimes, you will need to make changes to the appointments that are already added. Depending on whether it is just one off change affecting to one particular appointment, or rather on-going change that's affecting to series of upcoming appointment, you will need to make changes from different pages.
Please click on each accordions below to check the step depending on what type of change you need to make to appointments.
One - off change
If this is just one time change (e.g. client John Doe has Personal Care service every Thu from 8am - 9am, but want to change it to Fri just for this week), simply locate the appointment whether through:
a. Client calendar
Or
b. Weekly planner
Once you find the appointment, you can make any necessary change. Please note that the banner of the appointment page shows blue which indicates that this is individual (one-off) appointment
Once updated, make sure to click UPDATE APPOINTMENT. And you can see it's immediately updated.
You can also review the change history under Appointment Activity on the appointment page.
On going change
If this is a long term change (e.g. John wants to change his schedule from every Thu to every Mon from next week moving forward) it is going to take a while for you find each appointment to update. In this case, you can make that change on Repeat appointment template so it is automatically apply that change to the upcoming appointment without you having to manually update them.
To do this, first you need to locate the repeat appointment. The quickest way is through the appointment.
Once you are on Repeat appointment template, you can tell by its banner (orange colour)
Any change you make here will be applied to any future appointment that hasn't been loaded (ones with white little box next to them, arrow indicated in the below image) in the Weekly planner.
* when appointment is already loaded on Weekly planner, this becomes actual appointment and the system cannot apply this change
Once you update the repeat appointment with necessary change, you will be able to see any "pre-loaded" appointments are automatically updated (ones with arrow) WHEREAS the ones that already have been loaded aren't changed. (ones boxed)
